From Pharmacy App Order to Collection
When a customer pre-orders medicines digitally, the process inside the pharmacy begins. The order needs to be assigned, product availability checked and the required items picked.
COSYS integrates these steps into the digital flow of goods. Pharmacy staff can capture the required products using mobile devices and update the processing status. The COSYS Click and Collect solution centrally manages collection orders and provides up-to-date information on both order processing and availability for collection.
This creates a clear status chain: ordered, being processed, picked, ready for collection and collected. Particularly when several pre-orders are being handled simultaneously, this reduces queries and unnecessary searching.
The Collection Locker Takes Over After Closing Time
Once picking has been completed, a suitable order can be assigned to an available compartment in the collection locker. The customer can then receive a notification by email or SMS containing an individual collection code. Access to the assigned compartment is possible, for example, via QR code or PIN.
If the collection locker is located outside the pharmacy and is freely accessible, customers can collect their order independently of the pharmacy’s opening hours. COSYS digitally records the handover, meaning that collections made after closing time remain traceable within the system.
This extends the pharmacy’s service without requiring longer opening hours or additional staff simply to hand over prepared orders.
Not Every Medicine Belongs in a Collection Locker
In a pharmacy environment, convenience must not take precedence over professional and regulatory requirements. Whether an order is suitable for automated collection, and under which conditions it can be provided, must be assessed in accordance with the applicable pharmaceutical and legal requirements.
Storage conditions also need to be considered. COSYS collection lockers can be configured with different compartment sizes as well as optional chilled and frozen compartments. Temperature zones ranging from -18 °C to +16 °C are technically possible for temperature-sensitive goods.
The collection locker therefore does not replace pharmaceutical checks or any required advice. Instead, it automates the specific part of the process in which an order that has already been processed simply needs to be securely handed over to the intended recipient.
Collection Times Become Valuable Process Data
A digital collection process also provides information about how customers actually use the additional service. In the COSYS WebDesk, compartment status, occupancy times, openings and utilisation can be monitored centrally.
Business Intelligence turns this data into actionable KPIs: How many orders are collected after closing time? At what times do collections peak? How long do prepared orders remain in the lockers on average? Which compartment sizes are used most frequently?
Based on historical data, Forecasting can also help estimate future utilisation. For pharmacy groups, these KPIs can be compared across different branches, helping decision-makers determine where additional collection capacity would genuinely add value.
